Attendee Terms & Conditions
Applies to: Exchange Events, GXC EVENTS (Dates Vary) (the “Events”).
These terms and conditions (the “Terms”) apply to all attendees of the Events. Your registration to attend any of the Exchange Events ( GXC Events) indicates your Agreement to these Terms.
General Terms (Applicable to All Events)
Full Payment Required
All ticket purchases are due and must be paid in full at the time of registration for an Event. No reservation will be confirmed without full payment, and Exchange Events may refuse entry to any attendee where payment has not been made or only partially made. By selecting BNPL (Klarna) as your payment method at checkout, you agree to the terms as issued here (KLANA T&C) Exchange Events is not a party to any financing agreement entered into via Klarna and assumes no responsibility for payment schedules, account management, or any fees incurred through Klarna’s services.
Proof of Eligibility for Special Tickets
Attendees who are eligible to purchase discounted or special-rate tickets (e.g., student, nonprofit) must present valid identification or documentation at the time of check-in to an Event. Failure to provide valid proof may result in denied entry or payment of the full ticket price at the door.
Cancellation, Substitution & Lost Badge Policy
No-Show Policy
Failure to attend any event (whether in-person, virtual, or on-demand) does not qualify for a refund.
Refunds
All ticket sales are final and non-refundable, including fees for optional items such as VIP upgrades, CE credits, merchandise, or meal add-ons.
No refunds will be issued for virtual or on-demand events under any circumstances.
Transfers
If you can no longer attend an Event (live or virtual), you may transfer your ticket to a colleague by submitting a written request to (registration@gxcevents.org) at least 5 days prior to the Event.
- A $25.00 transfer/change fee will apply.
- All transfer requests are subject to approval by Exchange Events.
Badge Reprint Fee
Lost badges will be reprinted on-site for an additional fee.
Event Cancellation by Organizer
If Exchange Events cancels an Event in full, no refunds will be issued. Where feasible, scheduled content for the Event will be made available via virtual access. Exchange Events will notify all attendees as soon as reasonably practicable of any changes to an Event.
Force Majeure
If an Event is canceled, postponed, or disrupted due to circumstances beyond the organizer’s control, including but not limited to natural disasters, pandemics, government orders, or venue closures, no refunds will be issued. Exchange Events will use commercially reasonable efforts to provide registered attendees access to equivalent sessions online or at a future date.
Event Postponement
If an Event is postponed, all tickets will be automatically transferred to any rescheduled dates, provided, however, an attendee will have the option to attend an Event virtually where permitted. No refunds will be issued in the event of postponement.
Speaker and Program Changes
Exchange Events reserve the right to modify speakers, sessions, or scheduling without prior notice. No refunds will be granted due to such program changes or ‘No shows’ out of the control of Exchange Events. The official event website will clearly state: “Program subject to change.”
Technology Requirements for Virtual Access
For Virtual/On demand/recorded events attendees are responsible for maintaining a stable internet connection and compatible browser or device. Exchange Events are not liable for access issues resulting from attendee hardware, internet service, or system incompatibility.
Amendment Clause
Exchange Events reserves the right to amend these Terms at any time. Any updates will be published on the official event website and take effect immediately upon posting.
Limitation of Liability
By attending an Event, you agree that your access to any Event and your use of any materials, data, information, and products provided at the Event (collectively, “Content”) is at your sole risk and liability and acknowledge that all Content is provided “as is”. Exchange Events makes no representations or warranties (express or implied) in connection with the Event. To the maximum extent permitted under law, Exchange Events shall have no liability to you, whether based on an action of claim in contract, tort (including negligence), breach of statutory duty or otherwise arising out of or in relation to these Terms or an Event, for any indirect and consequential losses. Exchange Event’s total liability to you arising out of or in relation to these terms and an Event shall not exceed the total fees paid by you under these Terms.
Governing Law and Jurisdiction
These Terms shall be governed by and construed in accordance with the laws of the State of Connecticut. Any disputes shall be resolved exclusively in the state or federal courts located in Connecticut.
Event Access
A ticket grants access to one designated EVENT. Continuing Education (CE) sessions are included where specified.
Privacy Policy
Exchange Events is committed to protecting the privacy of its attendees and participants. Our full privacy policy is available here.
During registration, you will be given the choice to opt in or out of sharing your contact information with exhibitors. If you allow an exhibitor to scan the barcode on your conference badge, you are consenting to Exchange Events providing your personal registration information to a third party.
Photography, Video & Media Release
By attending an event organized by Exchange Events, you acknowledge and agree that you may be photographed, filmed, or otherwise recorded during the event. This media may be used by Exchange Events for promotional, educational, archival, or commercial purposes, in any format and through any channel (including print, digital, and social media).
By entering the event premises, you waive any right to inspect or approve the final materials or media in which your likeness appears, and release Exchange Events and its affiliates from any liability related to the use of your image, voice, or likeness.
Intellectual Property
All intellectual property rights in and to the Event, its content, and any materials distributed at or in connection with the Event are the property of Exchange Events, the Event sponsors, or the speakers. You may not use, reproduce, or distribute any trademarks (including “GXC Events”, “Global Exchange Conference” or “Exchange Events”) or any Event-related materials without prior written permission from Exchange Events.
For clarity, nothing in your registration or attendance at the Event grants you any legal or beneficial rights to Exchange Events’ intellectual property or that of its partners or speakers.
